This category appears underrepresented, with adoption in the 32–37% range. A key reason is that many Hostfully users have consolidated their smart devices — including locks, thermostats, and garage door openers — into Hostfully Smart Devices. This reduces the need for third-party integrations, simplifies the tech stack, and eliminates the need to manage multiple platforms.

Direct transfers and regional gaps

Adoption rises from 91% to 94% across mid-sized operators, then drops to 82% at the largest tier. Two factors explain this: first, larger operators often collect direct bookings via bank transfer or ACH to avoid transaction fees. Second, there is some dataset skew, as a portion of large operators are based in regions where Stripe or PayPal are not supported.

Finding 01 — Dynamic pricing software

Adopted at property 1, not property 50

Dynamic pricing software adoption sits between 75% and 85% across every portfolio size tier in this dataset. Operators are not waiting until they scale to adopt pricing tools. They implement them from the very first handful of properties and retain them at every stage of growth. If you are not using dynamic pricing software, the data suggests you are already behind the majority of your competitors.

Finding 02 — Cleaning and turnover software

The steepest adoption curve in this entire dataset

No category shows a sharper increase with portfolio size than vacation rental cleaning and turnover management software. At 1–5 properties, 52% of operators use tools like Turno or Breezeway. At 100+ properties, that number rises to 88% — a 36-point gap. Cleaning management becomes operationally non-negotiable at scale. For smaller operators, the choice is whether to build this system early or adopt it later under operational strain.

Tools such as Key Data for market intelligence, Mailchimp for email marketing, Boostly for direct booking websites, and Google Analytics for performance tracking are used by fewer than one in four small operators, but two in three at 100+.

Research methodology

Data source. This report is based on active integration data from 2,248 vacation rental operators using the Hostfully short-term rental management software platform as of May 2026. To be included, operators met the following criteria: at least three active sessions per week, a minimum of 100 days on the platform after completing onboarding, and measurable growth in either gross revenue or listing count. The dataset contains 31,474 individual integration records across eight operational tool categories and all major distribution channels.

Why this is the largest study of its kind. Hostfully defines this as the largest analysis of vacation rental tech stack composition ever published, based on operator count, integration volume, and category depth. Comparable studies are either survey-based rather than behavioral, narrower in scope, or have not been published at this scale by an active vacation rental management software provider.

Classification. Each integration was assigned to one of two tracks — distribution channels (OTAs, listing platforms, direct booking tools) or operational tech tools (dynamic pricing software, vacation rental cleaning software, payments, smart home, accounting, marketing, guest communication, insurance). Distribution channels are excluded from all adoption rate calculations.

Portfolio size tiers. Operators are grouped by active property count: 1–5 properties, 6–15, 16–50, 51–100, 100+. Adoption rates represent the share of operators in each tier with the integration having passed information to or from Hostfully back to the integration tech tool in the 30 days from when the data was pulled (they were active integrations).
