Before

Wydaho Property Management was built with intention. Nestled at the base of Wyoming’s Teton Range, the company focuses on high quality guest experiences while giving property owners peace of mind. Founder Jim Sheehan, a retired tech entrepreneur, never planned to run the business through constant hustle alone. “You can’t scale a complex operation like this on grit,” said Jim. “At some point, technology has to do the heavy lifting.”

One priority was clear early on: self-check-in. Jim and his wife wanted the freedom to step away from the business without being tied to guest arrival times. “Sometimes you want to enjoy a glass of wine on a Friday night instead of waiting for a guest to arrive,” said Jim. Hiring staff to handle check-ins was not a viable option, given the cost.

Wydaho initially relied on lockboxes and emailed access codes. While functional, the approach introduced serious risks. Codes were reused, security was weak, and anyone who had the code, from past guests to temporary cleaning staff, could access the property. As Wydaho grew and began managing homes for other owners, the stakes became higher. “Taking risks with your own property is one thing,” Jim said. “But once you’re responsible for someone else’s investment, security has to be airtight.”

After

Hostfully’s smart device integrations allowed Wydaho to replace lockboxes with automated, secure self-check-in. Using Hostfully’s Property Management Platform, reservations now trigger the creation of unique access codes for smart deadbolts. Each code is time-bound and automatically expires at check-out, eliminating lingering access risks.

“As soon as a booking comes in, the system just handles it,” said Jim. “There’s no manual work, no guessing, and no security holes.”

Hostfully acts as the central orchestrator. When a reservation is confirmed, the PMP communicates with the smart lock system to generate a unique door code. At the same time, a secure Hostfully digital guidebook is created containing check-in instructions and access details. Shortly before arrival, guests receive an email with a link to their personalized guidebook. The entire process runs automatically, without staff involvement.

The same system also manages access for cleaners and turnover staff. Temporary codes are issued through Hostfully and revoked automatically, removing the risk of permanent access from one-off workers. “That peace of mind alone was worth it,” Jim said. “I don’t have to worry about who has keys anymore.”

The result is a smoother guest experience, fewer operational touchpoints, and significantly less time spent on coordination, all while increasing security and consistency across the portfolio.

What started as a self-check-in solution quickly unlocked additional efficiencies. With a smart device hub already in place, Wydaho layered in smart thermostat automation. Heating and cooling are now adjusted automatically based on occupancy, preventing wasted energy between stays.

“In Wyoming winters, heating costs add up fast,” Jim said. “Being able to automate temperature changes without thinking about it has made a real difference.”
